This project focuses on the experience design of the SDN Learning Fest 2022 conference, which was conducted on May 21–22. I was leading the Attendee Experience & Concept Team. Our team’s method for creating this experience was based on the service design thinking process and was community-centered.

Nine people made up our team in the end, but this number fluctuated throughout the course of the seven months we worked together. We came from Scotland, the United States, India, Iran, and Germany. The conference would be a worldwide, online event, and the whole cooperation took place online. The team was given the moniker ExCo ( Experience and Concept).

D) Idea Development: The ExCo team held multiple co-ideation sessions. On the other side, we associated with policy from SDN-ATF to refine the concept and theme ideas in between ideation sessions.

After going through this process iteratively, we came up with the name “Service Design Learning Fest,” which highlights the importance of Service Design as the core of this conference. The words “Learning Fest” are a tasteful blend of fun and vibrance with learning, a crucial component for any student’s or professional’s growth because you can only truly earn when you learn!

A) Stakeholder Map: We collaborated with the SDN-ATF to produce the stakeholder Map. We had eight separate beneficiary groups at various levels.

Stakeholder map

B) Personas: We have constructed a persona for each set of stakeholders based on their interests, influences, objectives, needs, expectations, and motivations.

C) Desk research: This process consists of several components. We began by reviewing the materials to understand more about SDN’s vision and mission. In order to create this event based on SDN’s principles and experiences, we also looked through reports from their prior conferences. We then continued our investigation by finding out more about more conferences as well as new routes and trends.

This first and also the most important stage is consists of four steps. This process is not a linier process, which is so itterative.

1- Concept and theme design

Desk

research

Idea development

Persona

We planned 12 program ideas and made a preliminary timetable for the conference based on the length of the event, the research phase, and the conference’s overall concept.

3- Activities’ proposal

Young Professional Talk

We wanted students and learners to know about a young service design professionals journey from a student to a full-time employee, the differences in culture, personal and professional challenges, achievements, failures, project stories etc. General themes include Service Design in Business/Education/Public Sector/Technology, Ethics of Service Design, A Day in the life of or any topic you are passionate about.

Keynote

This will be a platform where the students will have the ability to attend lectures from industry led professionals and companies from the field of Service design and get insights on the various topics that are handpicked by our esteemed speakers and sponsors. This event will help establishing the connection between professionals and students that resonates throughout the span of the event, as well as post event.

Design Showcase

A platform where students will get the opportunity to demonstrate their projects, ask questions about each other’s work and offer feedback. The event will showcase the work of several service design & other design discipline students from around the globe and the few best work will get a stage to present it live during the conference. The students will share their work in the form of interactive case study presentations followed by an open discussion to gather feedback.

Workshop

Workshops are very pratical activities related to service design tools and mindset. This is the space where attendees learn hands-on skills and tips from professionals in the industry. Topics range from service design tools, design skills, and more career-centered ones. Some of the workshop topics are beginners-friendly, assuming no prior knowledge of service design.

Speakers Meet Sponsors Drink

Speakers meet sponsors drink is a fun socializing event for talent hunting sponsors, student speakers(and junior designer speakers if the total number participants can be maintained under 50). There will be interesting and relaxing activities for both speakers and sponsors.

Pre-activities

To connect attendees and make some networking activities, we will create a Discord channel, provide content related to the conference. This is a chance for people to vast their community in service design before the conference. This program is like an ice-breaker activity too.

Content club

The idea is about sharing different content in a club with the attendees. It can be a book club with presence of the auther, or a podcast club with the presence of the podcaster.

Mentorship

People ( mentees) and service design mentors can benefite from each other during the conference. There is a chance for people to find a professional coach to find their path and mentors ( junior-senior service designers) can present themselves and also grow by teaching others.

1:1 Booth ( Talent Hunting)

1:1 booth is where talent hunting sessions are taken place. The goal is to help companies find the right talents and help students land ideal jobs. The matchmaking process involves collecting attendees' information to build a talent database, share the database with talent hunters for screening, and arranging talent hunting sessions during the festival.

Design Debate

Since our SDNLF conference stands for giving voice to students, enable discussions and exchange of ideas, We have a fun game-like session where students can express their opinions freely. Design Debates does just that with rounds of discussions on a topic related to service design

Student Project Award

The Awards recognise the hard work and achievements of the students so winning one can help boost their morale, elivate, motivate and build their confidence. To ignite a sense of pride, achievement for all the hardwork put in, gather feedback and appreciation. To recieve best work from students all over the world, To globally acknowlege the hardwork. Take away a momento for being a part of the conference and contributing to the education of Service Design, the fan fav awards will help keep the attendees engaged through out the conference

Speed Dating

Speed Dating is a fun take on networking. This will be supported by the Hopin platform itself. The purpose is for the attendees to meet professionals globally through a 1:1- 3min conversation that can be extended if required.

We had to split up into the Experience group and the Platform group for this phase. Each of the three smaller Experiences groups designs four programs. And it was up to the Platform group to investigate and gather additional information about the platform that would host the conference.

Experience Teams:

Focus on designing the activities in more detail. E.g. duration of program, activites during the program and plan for each minutes, roles of different people ( Speaker, attendee, frontstage and backstage moderatior) and their connections.

Platform Team:

This small group is becoming expert to the platform of the conference (Hopin). They need to learn about all the possibilities and features and help the experience groups to design the programs more efficient and preciecly.

Experience Teams

The Experience teams and the Platform team worked closely together during the program design stage and concurrent platform analysis to create programs tailored to the platform’s capabilities and constraints. Following multiple rounds of feedback, the experience teams developed blueprints for each program that depict the actions of the host, audience members, and stage performers as well as their interactions during the conference.

5- Programs blueprint

We worked with the marketing team to test the Design debate and Workshop programs. The goal was to promote the conference one month in advance while also prototyping and testing the programs. We’ve gotten some input during this event that will help us prepare for the main event better.

Workshop prototype and test event

Design Debate prototype and test event

6- Prototype & test programs ( Co-stage event)

We finally settled on the schedule after numerous iterative processes, input from other teams and SDN-ATF, polishing of the specifics, and examination of the journeys of the attendees and other personas. We modified several program names and cut down on the number of programs from 12 to 7. We also employed a different platform for the workshop and modified the Design discussion session. The Young Professional Talk, Design Discussion, and Workshop were three of the simultaneous programs.
